Privacy Policy

When you use ProLexBot and its dashboard, we collect the following data:

• Discord account data: User ID, username, avatar, and guild membership (provided via Discord OAuth2)
• Server data: Server ID, name, icon, channels, and roles (required for bot functionality)
• Usage data: Command usage, feature interactions, economy balances, leveling progress, and moderation actions
• Technical data: IP address (for rate limiting and security), browser user-agent, and request timestamps

We use collected data to:

• Provide and maintain bot functionality across your servers
• Authenticate you on the web dashboard
• Track economy, leveling, reputation, and other per-user systems
• Enforce moderation actions (warnings, bans, prison records)
• Generate server-level analytics and leaderboards
• Prevent abuse, enforce rate limits, and maintain security
• Improve the Service based on usage patterns

Data is stored in MongoDB databases hosted on secure infrastructure. We implement reasonable security measures including encrypted connections, access controls, and regular backups. However, no system is 100% secure, and we cannot guarantee absolute data security.

We do not sell your personal data. Data may be shared in limited circumstances:

• Within your server: Leaderboards, profiles, and moderation logs are visible to server members with appropriate permissions
• Service providers: Hosting and infrastructure providers that process data on our behalf
• Legal requirements: When required by law or to protect our rights and safety

We retain data for as long as your server uses the bot or your account interacts with the Service. Server-specific data (settings, logs, economy) is retained until the bot is removed from the server or a deletion request is made. Some data (moderation logs, audit trails) may be retained longer for security purposes.

You have the right to:

• Access: Request a copy of data we hold about you
• Deletion: Request deletion of your personal data (subject to legitimate retention needs)
• Correction: Request correction of inaccurate data
• Opt-out: Remove the bot from your server to stop future data collection for that server

The dashboard uses session cookies for authentication (NextAuth.js) and may use local storage for UI preferences. We do not use third-party tracking cookies or advertising pixels.

The Service integrates with:

• Discord: For authentication and bot functionality (governed by Discord's Privacy Policy)
• Top.gg: For vote tracking (if you choose to vote)

The Service is not intended for users under 13 years of age (or the minimum age required by Discord). We do not knowingly collect data from children. If we become aware of such collection, we will delete the data promptly.

We may update this Privacy Policy periodically. Changes will be posted on this page with an updated "Last updated" date. Continued use of the Service after changes constitutes acceptance.
